Registration Coordinator

This position has the potential to become a "regular" position at the end of the temporary assignment which is estimated to be 3 months. Pay is $16/hr.
REGISTRATION COORDINATOR
General Summary Works closely with the meeting planning team and under the direction of the Registration Project leader or Meeting Planning to establish and maintain the registration process for the client’s event. Principal Duties and Responsibilities/knowledge Customer Service Provide excellent customer service to internal and external clients and attendees through phone calls, emails, etc.Customer service focused through handling all telephone calls, email campaigns and requestsUtilize multiple registration systemsProject patience, empathy, caring and sincerity in voice tone and wordsEstablish rapport over the phone quickly, and remain positive and upbeatLocate and communicate event information from a number of different sources to clients and attendeesRespond to client and attendee calls quicklyResolve basic attendee and client questionsQuick response to clients and attendee requests at least 24 hour turnaround timeMay be required to work in multiple queues/skill setsManages multiple client email boxes in OUTLOOK Be proficient in the use of telephone equipment, including headsets Database ManagementData entry by processing registration applications received through phone calls, website, mail and fax and process them through registration databaseUpdate the registration system weekly to ensure accuracy of databaseDocument all changes to attendee records in the registration systemFollow-up with registrants regarding outstanding payments pre and post eventAbility to process transactions accurately and efficiently. Registration CoordinationTrack registration client history documentsOrganize and order registration supplies: badge holders, lanyards, ribbons, etc.Stuff badgesAttend project meetingsMeet project deadline datesProvide onsite registration coordinationHandle multiple eventsAssist as backup for all registration clients at any timeHandles special projects and/or duties as directed. ReportingFollow department procedures related to reporting guidelinesCompile registration reports for clients using MS EXCELSubmit reports to registration Manager for review and approvalWork with accounting to compile invoicesFinalize database wrap-up with accounting Other duties as assigned.
MINIMUM REQUIREMENTS ·
High school diploma or GED·
Ability to work both independently and as a team player · Inspire confidence and positively influence the behavior, actions, and thoughts of others· Flexible, adjusts quickly, and reacts positively to change· Organizes work and develops strategies to adapt to constantly changing workload· Strong written and verbal communication and interpersonal skills· Strong follow-up, organizing and time management skills· Proficiency in MS WORD and EXCEL required along with ability to learn new software quickly
ESSENTIAL PHYSICAL FUNCTIONS·
Ability to travel at least 50%· Ability to lift up to 35bs· Ability to sit for extended periods of time· Vision and hearing (or corrected) to normal range
