Executive Assistant $60k

We have an outstanding opportunity for Executive Assistant for Insurance Company in Alpharetta. Stable company with FABULOUS benefits, (the best I’ve seen in a long time!!!) This very fast paced position will require a seasoned EA who has dealt extensively with supporting multiple C level executives.
Administrative duties. 1) Make travel/hotel/dinner reservations for internal staff travel, other company functions and Board of Directors’ meetings.2) Marketing Trips/Industry Events:a. Plot Trips and travel arrangements for producer visits (hotels, rental cars, dress, restaurant, etc.).b. Organize Division’s attendance on producer visits – follow up and coordinatec. Organize Broker’s lounge, signage and meeting rooms for industry eventsd. Organize transportation, meals and venues for industry events and other entertainment options.e. Manage invite lists from the divisionsf. Assist with planning for Atlanta based venues for customer entertainment (ex. Braves box and Andretti’s for Transportation Underwriting Conference).g. Order producer giftsh. Track RSVP’s and follow ups for eventsi. Update Customer Relationship Management (CRM) with dress code, food preferences, personal info as determinedj. Inventory promo closet, maintain inventory and advise Marketing VP when items need to be replenished.3) Coordinate scheduling internal lunches, contracting for food catering, assist with room set up and take down, etc.4) Assist with facility issues, order office supplies, etc.5) Provide administrative support for all members of the senior management team, but not limited to, travel coordination, preparation of correspondence, completing expense reports, coordinating meeting schedules and preparation of PowerPoint presentations.6) Prepare PowerPoint presentations with input from department heads for quarterly internal meetings, annual reinsurance meetings and others as assigned.7) Coordinate scheduling internal meetings as well as meetings between internal staff and external business partners.8) Manage President’s calendar9) Prepare binders and other materials for annual reinsurance meetings, annual A.M. Best rating meeting, Board meetings and other meetings as assigned with input from department heads.
A. Relationships1) Reports to VP Operations with a dotted line to President/CEO, CFO, VP Marketing and Management Team.
B. CompositionProvide support and assistance to President, VP Marketing, VP Operations, CFO and Management Team as needed.
Know-How (Knowledge & Skills)1) Proficient in Word, PowerPoint and Excel.2) Ability to multi-task and prioritize workload.3) Dependability – ability to work flexible hours to complete projects when necessary, prepare for early meetings, etc. (These hours are subject to approval and will be paid per overtime policy).4) Detail-oriented, works fast and accurately.5) Effective written, oral and listening communication skills.6) Ability to coordinate events, lunches, dinners, meetings, etc.7) Knowledge of Company policies and procedures.
D. Problem Solving1) Maintain strong relationship with President, VP Operations, VP Marketing, CFO and Management Team.2) Develop and maintain strong relationships with outside vendors when appropriate. Ability to resolve any billing and contractual issues.3) Is open to learning new things and takes an assertive role in broadening skills and knowledge base. QUALIFICATIONS:
A. Excellent Word, PowerPoint and Excel skills
B. College Degree preferred
C. 7-15years of executive administrative experience
D. Problem solver
E. Able to take directives from multiple people without getting overwhelmed F. Effective communication skills – oral, written and listening
G. Able to represent the Company internally to management and staff, and externally to brokers and vendors.
